FM Maintenance 

  • Current asset footprint and equipment are inventoried
  • Clearly defined Scope of Work - for example:
    • Normal hours vs. After Hours service
    • Number of Preventative Maintenance (PM) visits per year 
    • Details around what each PM includes
  • Agreed key milestones (including site availability hours or constraints)
  • Payment timeline and terms are agreed
  • Defined client flow-downs and unique contracting requirements not in the standard CBRE MSA
  • Detailed pricing sheets with breakdown of all key cost drivers
  • Technical capability questions  
    • For example: If an OEM is needed how do they bring them in for repairs?
  • Submission dates
  • Bid analysis and scoring matrix 
  • 60+ day go live from the time a contract is signed
  • Structured feedback to all suppliers following the bidding exercise
  • Review and check Insurance requirements from CBRE and Client, depending on contracting entity
  • Dispute resolution process
  • Warranty options are clearly defined

Sourcing Options and Timing

  • Accounts should always consider Strategic, Preferred or Diverse (SPD) supplier partners that are already a part of our Supplier Partner Program
  • If SPD suppliers are not available or applicable to the account needs and it is necessary to source a new supplier, please work with the Category Solutions Lead
  • For support with FM partners and equipment lifecycle cost / maintenance please reach out to the Category Solutions Lead
  • Engaging the SPD suppliers early and often is highly encouraged 
    • Due to supply chain disruptions lead times for certain parts can be double the normal timeline

Key Points

  • Site visits should be undertaken by supplier partners, where applicable, to ensure a full understanding of site conditions
  • Current cost baselines and cost history should be established including compliance gaps or risks, inherent products / services not specific but in scope, and any out-of-scope products / services (scope-creep)
  • Performance monitoring and reporting to be developed on Day 1
